Renewing an Australian passport in the UK can disrupt the move home if you treat it as a form to complete between booking flights and packing. An overseas application can generally cancel the current passport, and the overseas route has its own lodging, documents and delivery arrangements. Decide which route applies before you commit to travel.
This checklist is for an Australian citizen living in the UK who needs a new or renewed passport before returning to Australia or moving on elsewhere. It does not decide citizenship, visa or destination-entry requirements. Those must be confirmed with the responsible authority for the country and itinerary.
1. Check whether your Australian passport is a renewal case
Start with the physical passport, not the expiry reminder. The Australian Passport Office says an adult renewal generally requires a passport issued when you were 16 or older, on or after 1 January 2006, with at least two years' validity when issued. Its personal details must still be current, the passport must not be lost, stolen or cancelled, and you must be able to present it.
At the Australian High Commission in London, an adult who meets the renewal criteria can lodge by post. A first adult passport, a replacement for a lost or stolen passport, an application following an emergency passport, and many other cases are an overseas application rather than a streamlined renewal. Children do not simply renew an old passport: check the current London instructions for the child's route and consent requirements.
Record the passport's issue and expiry dates, name, condition, last place of issue and every imminent trip in the free Personalised Expat Action Plan. It helps sequence the passport task with a UK tenancy end date, shipment and Australian arrival. It does not decide which passport form you qualify for, or confirm an appointment or postal option.
2. Keep the passport available until your travel plan is safe
The costly mistake is assuming the existing passport remains a usable travel document throughout an overseas renewal. The Australian Passport Office says a current passport will generally be cancelled when you apply from overseas. Any unused validity does not transfer to the new book, which starts from its issue date.
Put a realistic no-travel window around the application. The national overseas guidance says to allow at least six weeks from lodging, says overseas applications are not eligible for faster processing, and directs applicants to the local post for delivery arrangements. That is a planning minimum, not a promise for a particular London case or a reason to book a non-refundable flight.
Use the End-to-end Moving Abroad Planner once you know the likely lodging route. Enter the intended application date, every flight or rail crossing that needs the passport, visa appointments and the removal date. The planner is a date-checking tool; it cannot tell you whether a country accepts an emergency passport or whether an application is complete.
3. Build the original-document file before starting the form
Do not rely on scans, photos or a digital folder when the overseas process asks for originals. Depending on the route, the Passport Office guidance calls for citizenship evidence, a full original birth certificate, identity documents showing photo, signature and current address, any name or gender change documents, and two compliant photos. If a document is not in English, use the translation route the overseas post accepts.
For an overseas application lodged in person, the London High Commission says it does not accept copies, including copies made by notaries or justices of the peace. The exact list depends on the application type, so read the London page attached to your route before paying for photos or arranging time away from work.
Keep a small controlled file containing:
- the current and any prior Australian passport details;
- original citizenship and birth documents needed for your route;
- original name-change or court documents, where relevant;
- two compliant passport photos and the application form;
- the address, phone number and email you will still be able to use during the move; and
- a copy list of what you will take or post, stored separately from the originals.
The Moving Cost Calculator is useful here for reserving a realistic move budget that includes passport photos, the official application fee, any overseas surcharge, secure delivery and a contingency for changing a flight. Enter quotes and published fees rather than assumptions. It is not an official fee quote and cannot establish an urgent-travel entitlement.
4. Separate an urgent journey from an ordinary renewal
Faster processing advertised for Australian applications is not a route you can assume from the UK. The Passport Office says priority and Fast Track services are only available to eligible customers in Australia, while applicants outside Australia should seek local advice on processing timeframes.
If you are overseas and have an urgent need to travel, an emergency passport may be possible through an Australian embassy or consulate. It is valid for up to one year and has no passport chip, so some countries restrict its use. Check the entry and transit requirements for every country on the actual route before relying on it. You can apply for a full-validity passport at the same time, but the standard and emergency fees can both apply.
An emergency document is not a shortcut to an Australian return flight, a visa result or a replacement for a child-consent issue. Contact Australia House before changing travel where you have a lost, stolen or damaged passport, an urgent compassionate reason, a child application, a name change or an incomplete citizenship record.
5. Re-check the plan when the new passport is issued
A renewed passport has a new number. Update airline bookings, visas or visa applications, insurer records, trusted-traveller profiles and any immigration account only where the relevant provider instructs you to do so. Do not update a booking speculatively if the carrier needs the old number until check-in; confirm its process.
This is also the point to use the Australian return checklist and Medicare return guide for separate arrival decisions. A new passport is useful identity evidence, but it does not by itself establish Australian tax residence, Medicare eligibility or the timing of a UK departure return.
Guidance, not advice: ExpatCompass tools help you organise dates, documents and costs. They do not issue a passport, establish citizenship, decide visa or entry eligibility, or replace current Australian Government and destination-country instructions.
Your Australian passport renewal order from the UK
- Check the passport's issue date, expiry date, condition and personal details against the current Australian and London eligibility rules.
- List every trip, visa event and move deadline before choosing a postal or in-person route.
- Gather the original documents, photos, guarantor or consent material that the applicable route requires.
- Confirm the current lodging, fee, payment and delivery instructions with Australia House before submitting or posting anything.
- Leave adequate time after lodging, with no travel assumption while the current book may be cancelled.
- If travel becomes genuinely urgent, seek official consular advice and check the actual itinerary's document rules before relying on an emergency passport.
- When the new number arrives, update only the accounts and bookings that require it, then complete the separate Australian arrival tasks.
The useful result is a passport plan that fits the move rather than a last-minute application that removes the travel document you still need. Treat the local post's live instructions as the final check every time.
